Tasks & Time Tracking
Tasks are the core unit in Fluxopus. Each task represents a repetitive workflow you want to track, automate, and measure. This page covers the full task lifecycle from identification to measured ROI.
Task Fields

| Time After | Minutes per occurrence after automation (0 = fully automated) |

| Visibility | Private = only you; Company = whole team can see it |
Task Lifecycle
Every task progresses through four statuses:
Identified
The task has been documented but work hasn't started yet. Fill in Time Before and Frequency to unlock savings estimates.
In Progress
Automation work is underway. Assign a skill, connect tools, or start building the workflow manually.
Automated
The automation is live. Enter Time After to start measuring the actual time saved per occurrence.
Measured
You have real-world data confirming the savings. Use time logs to record multiple observations for a reliable average.
Time Tracking
Fluxopus supports two approaches:
Quick Entry
Set Time Before and Time After directly on the task. This is a single value representing the average minutes per occurrence.
Time Logs
Add multiple log entries per task (phase: before or after, minutes per occurrence). Fluxopus calculates averages across all entries for more reliable measurements. Time logs appear on the task detail page.
Analytics & ROI Formula
All analytics are based on the following formula:
monthly_saved = (time_before − time_after) × frequency_multiplier
annual_saved = monthly_saved × 12
frequency_multiplier: daily = 20, weekly = 4, monthly = 1
If you set a personal hourly rate in your Profile, Fluxopus also calculates a € value of time saved and a Cost of Inaction showing the potential savings from tasks not yet automated.
Creating Tasks
- Questionnaire — auto-creates 3 tasks from your answers to the 14-question workflow assessment
- Quick Add — natural-language entry on the dashboard ("I manually export sales reports every Monday")
- New Task form — full form with all fields at Tasks → New Task
- Templates — pre-built task definitions for common workflows at Tasks → Templates
Tags
Tasks can be tagged with company-scoped labels. Tags are shared across tasks, skills, and knowledge items within your company. Filter and group tasks by tag on the Tasks list page.
CSV Export
Export all your tasks (or your company's tasks if you're an admin) as CSV from the Tasks list header. The export includes all fields including calculated annual savings.
